The process for terminating a loan agreement is the same as the process for terminating a contract. (see Contract termination). As explained above, there are two possible situations: a contract can run its course and simply expire at the end of the term; or it can be terminated prematurely due to some business decision made by the club. After termination, player’s current registration is terminated and he/she is automatically registered for his original club. All the actions are logged in player’s history. | The process for terminating a loan agreement is the same as the process for terminating a contract. (see Contract termination). Contracts
Among other things, Comet keeps tracks of contracts and agreements between clubs and players, as well as clubs and coaches. There are four types of agreements currently identified for players: professional contract, amateur agreement, loan agreement, contract annex. Loan agreement is a special case, which requires that a player has another active agreement in place. Loan agreements will be described in more detail in a separate article. All contracts and their termination requires a confirmation by the responsible authority. Review and input of contract data is accessed through the player’s record. All users can view contract information; however, only authorized users can enter and modify contracts under their jurisdiction.
Adding new Contracts
The procedure for adding a new contract is similar to adding a new registration. This is done on the “Active contracts” tab by clicking on the “New contract” button. A new contract can be entered only when a player has an active registration. User must complete entry of all required fields, marked by the system with red. Note that the name of the association and the name of the club are automatically selected based on the current registration of the player.
When a contract is entered in the system, it needs to be confirmed by the responsible person from the responsible authority (usually handled by the national federation).
Confirming a contract
If you are the person responsible for confirmation of new contracts, please follow these steps:
- on the left menu, go to „Players“ and click to „Confirm contracts“
- the system automatically generates a list of players awaiting contract confirmations
- click to select the first player; this action opens player's details for your review
- inspect all uploaded documents and verify that the information is complete
- if complete, click to „Edit contract“ (see below)
- then click to „Confirm“ and the confirmation is completed (see below)
Once the contract is confirmed, the status of the contract changes in the system and this action is logged in player's history. If the information entered in the system is not complete or for some reason not satisfactory, you may choose not to confirm the contract. In that case, please notify the appropriate association official explaining your reasons.
Terminating a contract
Generally speaking, each contract is issued for a specific time period, meaning it has a starting and ending date. The system keeps track of contract end dates and notifies the appropriate association officials when needed. If a contract has expired, the system will automatically change the status of the contract to EXPIRED and all the interested parties will be notified about its expiration.
If for some reason, the contract must be terminated before the stated expiration date, this can be accomplished in the following manner:
- search for the desired player and select to view his/her details
- select “Active Contracts” and click the “Edit” button (below contract info)
- fill in “Date of termination” and click on “Terminate” button (see below)
- fill in the “Reason for the termination” in the pop-up window and click on the “Terminate” button at the bottom
In order to complete the termination, it is necessary to enter the date of termination and the reason for the termination. This action changes the status of the contract to TERMINATED and this will be logged in the system.
Note: In some cases, if the automatic termination is intentionally disabled in the system (based on customer specification), even the contracts that are passed the end date will have to be manually “Marked as expired”. You will notice the appropriate command button while in edit mode.
Confirming a termination of the contract
As previously mentioned, all premature contract terminations require a confirmation by the responsible authority. The person responsible for confirmation of contract terminations can follow these steps:
- on the left menu, go to „Players“ and click to „Confirm con. term.“
- the system automatically generates a list of players awaiting contract termination
- click to select the first player; this action opens player's details for your review
- verify that the information is complete and open the „History“ tab
- if complete, click to „Edit“ the contract
- then click to „Confirm termination“
By doing this you confirmed the termination of the contract and completed the workflow.
Loan agreement
Loan agreement is a contract between two clubs by which one club “loans” one of its players to another club for a specific period of time. To create a loan, the player must have an active contract with the club where he is registered. This process is triggered on the “Contracts” tab of the player in question, by clicking the “Loan” button. A new section of the screen allows entry of the loan agreement details, which creates a new contract with status set to ENTERED. When the loan agreement is created, the registration for player’s current club is automatically terminated and a new one is created for the destination club with status ENTERED. Both actions are logged in player’s history.
The next step should be familiar by now. All new registrations and all new contracts need to be confirmed by the responsible authority. The same rule applies here. For clubs in top ranks, confirmations typically need to come from the national association. For lower ranked clubs the same person who entered the information can also confirm these entries.
Terminating a loan agreement
The process for terminating a loan agreement is the same as the process for terminating a contract. (see Contract termination). As explained above, there are two possible situations: a contract can run its course and simply expire at the end of the term; or it can be terminated prematurely due to some business decision made by the club. After termination, player’s current registration is terminated and he/she is automatically registered for his original club. All the actions are logged in player’s history.
As always, contract termination and new registration need to be confirmed by the responsible authority. The level of authority required will depend on the club ranking.
